Use

Forms
Creation

  • Form Name: Choose a name for your form
  • Field Type: Choose a type of field to include
  • Follow the steps that appear based on your field choice
  • Field Label: The “title” of your field – the prompt that tells users what the field represents, i.e. “First Name”
  • Field ID / Name: This uniquely identifies the field and will be used in database column creation
  • Sort Order: An integer value of where in the form you would like the field to appear (1 appears first)
  • Required? : check if your field should be filled out
  • Validation : choose a property that matches what the user should be entering
  • Submit your data – after submission a preview of your form is found under “Current Forms”

***NOTE: Please note the “Reserved Names / Ids” to the right of the form creation

Editing

  • Edit all the properties of the fields created in your forms
  • Delete fields not needed
  • Delete entire forms not needed

Generating

  • This step is required to use your form
  • Once complete it is removed from the create and edit tabs
  • Choose a form to generate
  • Type in a general error message for validation
  • Type in a success message to be shown on successful completion of the form
  • Type in the complete address of the page that will contain the success message

Managing

  • Location of the forms after generation is complete
  • Shows a preview the forms
  • Gives instruction on the use of the form
  • Allows you to “ungenerate” the form for further editing
  • Allows you to remove fields or previously created database columns during “ungeneration”
  • Allows you to completely remove all items associated with the form – form, fields, database columns

***NOTE: please be aware that multiple forms may share certain database columns

Categories

  • Adding / Editing / Deleting
  • methods to complete these tasks are almost identical to the basic WordPress methods
  • Deletion allows you to assign associated contacts to a category of your choice

Assignments

  • Use
  • Allows you to assign recent form results to created categories
  • Initial View
  • The initial view is of fields that are common to all forms
  • Further detail is obtained through the “Form Specifics” sorting functions

Form Specifics
Allows sorting of records through multiple parameters

  • Choose one or many parameters
  • Choose a form from the drop down list – you can end your sorting here and hit “sort”
  • Further options will appear that are specific to the form
  • Results narrowed by the search will appear
  • Select those you wish to assign
  • Select a category to place them under – click “assign”
  • Those records will now be removed from the list and placed in the “manage contacts” tab

Add to the list

  • Allows adding of previous contacts gathered before the plugin – or for any other purpose!
  • Choose a form from the drop down list
  • Columns associated with this form will appear
  • Fill them out and submit! They will now be available for assignment

Templates
Use

  • Allows you to create templates for reuse when responding to form submissions
  • SMTP or PHP mail() servers available
  • HTML or Plain text styles available

Create Templates

  • First!: upload any files to be attached or included in your template (including images for html mail)
  • Refresh the previous uploads to make them available
  • Enter a name for your template
  • Enter reply to name and email if not specified previously in the options
  • Enter sender name and email if not specified previously in the options
  • Enter SMTP information if applicable & not already specified in the options
  • Enter SMTP cc & bcc name and email if applicable & not already specified in the options
  • Enter a subject to be displayed when the email is received
  • Choose a mime type – a plain text version will be included with all html mail

Template Body

  • You may develop your mail in a text editor and paste it into the body field or create the mail directly within the body field
  • The “Template Placeholders” are used for personalization purposes
  • They represent field values within your created forms. Example: If you have created a field within your form that requests the user to enter their “first name” then that placeholder will be available to use within your template.
  • Using placeholders: place your cursor into a position within your template body where you would like to insert the placeholder. Click the appropriate placeholder and it will be inserted into the cursor position. If you have pasted an externally created template within the body field, you may highlight the portion that you wish to replace with the placeholder and click the appropriate placeholder button. The highlighted text will be replaced.
  • When the mail is sent, the placeholder will be replaced with the value that the user entered when submitting the form. Example: Placeholder [+first name+] will be replaced with “George”.
  • If your mail template contains images, click the uploaded image to insert it at the cursor position within the template body
  • If you have attachments to include, click the uploaded attachment “images” and they will be placed in the attachment portion of the template. Note: the “x” is used to remove the attachment from the template
  • Once you are satisfied, submit your template
  • If for any reason, you are unable to complete your template in one sitting, or perhaps you forgot to upload some images, submit the portion you have completed to that point. The template will be available to edit and complete later.

Template Editing

  • Submitted templates are available to edit through the drop down menu located at the top of the creation form. Choosing a template will load the information into the creation form so that you may edit the contents.
  • Editing follows the same rules as creation

Template Deletion

  • Choose a template and click delete!
  • Any attachments or images associated with the template will remain available for other templates

Manage Contacts

  • Sortable by assigned category, year, month and day submitted
  • Assigned contacts are listed by number, date and previous management actions
  • Contacts who have *not* received mail previously show an “x” in the upper right corner
  • Contacts who *have* received mail previously show a checkmark in the upper right corner
  • Select those contacts who you would like to receive mail, select a template from the drop down menu and click “send mail”.

That’s it! The journey is complete.
